Paying Your Consignment Partners

Each consignor has a ledger: every share they've earned, every adjustment, and every payout, with a running balance. It's where you record what you paid them, and where you get a receipt or statement to send them. This picks up where Consignment Partners and Commissions leaves off. Consignment is part of the Growth and Pro plans.

1. Open the ledger

  1. Click Trackers in the top menu, then the Consignors tab.
  2. In the consignor's row, click their Balance owing amount, or the book icon.

2. Read it

Four tiles sit at the top of the ledger:

  • Balance owing is what you owe the consignor right now.
  • Commissions, all time is every share they've earned.
  • Paid out, all time is every payout you've recorded.
  • Adjustments, all time is the total of the credits and charges you've added.

Below the tiles, every entry is listed newest first, with the running balance after it. A share shows Owed until a payout covers it, and then it shows Paid.

3. Record a payout

  1. On the ledger, click Record payout.
  2. Under Paid on, choose the date you paid.
  3. Check the Amount. It's filled in with everything owed up to that date: change it if you paid something else.
  4. Choose how you paid from the Method dropdown: e-Transfer, Cash, Cheque or Other.
  5. Enter a memo if you want one, then click Record.

The payout settles the oldest owed shares first, so each share knows which payout paid it. A share only part-covered by a payout stays Owed until a later payout covers the rest.

Every payout has a receipt listing the sales it paid for. On the payout's row, click the download icon for a spreadsheet (Receipt (CSV)), or the printer icon to print it, or save it as a PDF from the print window.

4. Add an adjustment

An adjustment is money between you that isn't a sale: the consignor paid for something, like dry cleaning (a credit to them), or you take off a fee you agreed (a charge).

  1. On the ledger, click Add adjustment.
  2. Choose Credit to consignor (adds to what you owe them) or Charge to consignor (comes off what you owe them).
  3. Enter the amount and the date.
  4. Enter a memo under Memo (required), so the ledger explains itself later.
  5. Click Add.

Add an adjustment: Charge to consignor, Credit to consignor (circled), Amount $8.00, the date, and the memo Dry cleaning she paid for

Send a statement (Pro)

On the Pro plan, a statement shows everything for a period: what the consignor was owed at the start, each share, payout and adjustment, and what they were owed at the end.

  1. On the ledger, click Statement.
  2. Choose the period, like Last month.
  3. Click Print (then save it as a PDF to send), or CSV or Excel.

On the Pro plan, Reports → Downloads also includes a statement for each consignor (see Year-end Reports for Your Accountant).

Fixing mistakes

  • A payout: click the pencil on its row to change the date, amount, method or memo, or the bin to delete it. Deleting a payout sends its shares back to Owed.
  • An adjustment: click the bin on its row to remove it, then add it again if you need to.

The ledger works everything out again from scratch each time, so it always adds up.

The Consignors report

At the bottom of the Consignors tab, the Consignors report has one row per consignor, with these columns:

  • Items held
  • Sold
  • Revenue basis
  • Owed
  • Paid
  • Adjustments
  • Balance owing

Click CSV or Excel to download it.

When a consignor stops working with you, pay them off, then click Archive on their row. Their items and past sales stay as they are. Click Restore to bring them back anytime.

Common questions

Do I have to pay the whole balance?

No. Change the Amount when you record the payout. Shares are paid oldest first.

The balance shows a credit.

You've paid ahead. The next shares use it up.

I paid a consignor before I started using RelistKit.

If those sales are in RelistKit, record a payout dated the day you paid. That marks their shares paid. If the sales aren't in RelistKit, there's nothing to record.

A refund came in after I paid the consignor.

The share stays paid, because that money has left your hands. If your agreement says the consignor shares refunds, add a Charge to consignor for their part. See Refunds and Returns.

Where do consignor payments show in my reports?

Their shares show on your profit and loss as Consignor shares, when each item sells (see The Profit and Loss). What you've paid them shows in Money in and out as Paid to consignors, on the day you paid (see Money In and Out).
